Surface a Form Automatically
By default a form is visitor-initiated — it appears when the visitor opens it. An activation trigger turns the form into something the assistant can reach for on its own: you describe, in plain language, when the form is relevant, and the assistant decides from the conversation whether to show it.
How It Works
The assistant treats each triggered form as a tool. When a visitor's message matches what you described in the trigger, the assistant surfaces the matching form inline, ready to fill — no button click and no extra behaviour instructions required. A form with no trigger is never surfaced automatically; it only appears when the visitor opens it. Whichever way the form appears, a submission becomes a lead in the same way as any other.
The trigger stays private
The activation description is used only on the server to decide when to offer the form. It is never sent to the embedded widget, so visitors never see it.
Steps
- Open the assistant's Forms settings and select the form.
- In Activation trigger, describe when the assistant should offer it — for
example: "When the visitor asks to book a demo, request a quote, or contact sales."
- Leave the field empty to disable auto-activation (visitor-initiated only).
- Save the assistant configuration.
Write a Good Trigger
- Name the intent, not the keywords — *"when the visitor wants to talk to a
human"* works better than a list of exact phrases.
- Keep each form's trigger distinct — if two forms overlap, the assistant may
surface the wrong one. Give each a clear, separate purpose.
- Don't over-trigger — a trigger like "on any question" pushes the form
constantly and hurts the conversation. Reserve it for genuine intent.
Verify the Result
Open the playground and type a message that matches the trigger (for example, "Can I get a demo?"). The form should appear on its own. Then ask something unrelated and confirm it does not appear.
Troubleshooting
- The form never appears automatically — confirm the trigger isn't empty and
that you saved the configuration, then rephrase it to name the intent more directly.
- The form appears too often — narrow the trigger to the specific intent, and
check that no other form has an overlapping trigger.
