Keep AI support answers aligned with current documentation

Support content changes for concrete reasons: a setup step moves, a policy gains an exception, or a release removes an old workaround. An assistant will not use that change until its dataset is refreshed.

Scheduled website crawling can close that gap, but accuracy still depends on the source and the review process.

Connect content changes to capture checks

For each support release, record:

Release itemSource pageCapture jobRegression question
New authentication stepSetup guideDocumentation job"Where do I configure authentication?"
Changed cancellation ruleBilling policyPolicy job"What happens when I cancel?"
Removed workaroundTroubleshooting pageSupport jobAsk the question that previously returned the workaround

Run or await the scheduled capture, confirm the changed page was processed, then ask the regression question and open its source.

Use separate schedules where change rates differ

Active troubleshooting content may need a daily capture. Stable policy pages may fit a weekly or release-triggered run. Separate jobs make those choices explicit and prevent the whole support site from using the shortest interval.

Check more than the final wording

A fluent answer can still be wrong. Review:

  1. whether the source page itself is current;
  2. whether the latest capture includes that page;
  3. whether the dataset contains the changed passage;
  4. whether the answer follows that passage; and
  5. whether the citation opens the correct version.

If an old answer persists, search the dataset for the old wording. Archived release notes, translated copies, and duplicate support articles often preserve the conflict.

Crawling cannot approve a policy

A capture job can retrieve a changed page. It cannot decide whether the change was approved or whether another page should be updated. Keep editorial ownership outside the crawler.

Use conversations to find gaps

Seekdown Analytics records visitor questions and answers. Review recurring questions, negative reactions, and unsupported requests after a release. When the source does not answer a common question, improve the support article first, refresh it, and re-run the question.

This workflow does not guarantee every support answer is correct. It creates a traceable path from the current source to the captured record, answer, and citation.
